Frequently asked questions

These are the questions our support and sales desks hear most often, answered directly in plain English.

How do I get a licence key?
Licence keys are issued by email when your order is confirmed. The key activates the modules and number of users on your licence. If you need a key re-issued — for example after a server replacement — contact the support desk and we will issue a replacement at no charge.
What are your support hours?
Monday to Friday, 8:30 am to 5:30 pm AEST. Clients on Managed IT Support plans reach the desk from 8:00 am to 6:00 pm. Messages left outside these hours are answered the next business morning by a person, not an autoresponder.
Which operating systems does InsightSuite support?
InsightSuite runs on current Microsoft Windows desktops and servers. The detailed requirements per edition and hosting option are listed in the product brochure, and we confirm them with you before you order.
Can we move our data out of InsightSuite?
Yes — your data belongs to you. Standard export formats (Excel and CSV) cover every module, and if you ever decide to leave, we assist with a complete final export at no charge. This promise sits in our terms, not just in this answer.
Do you offer training?
Yes — at our Milton training room, on-site at your office, or online, covering users, administrators, report authors and workflow builders. See Services › Training Academy for the current catalogue; refresher sessions after major releases are included free for the first year of any licence.
How are updates delivered?
Minor updates are included in your licence and arrive through the built-in update service. Major version upgrades are offered to existing customers at preferential rates, with a clear summary of what changed and what it will not break. Managed clients have updates applied and verified for them outside business hours.
Can InsightSuite run in the cloud?
Yes. Since 2017 a cloud-hosted option has been available on Australian servers. Existing on-premises customers can move to the hosted option without losing data or configuration — it is a migration we quote as fixed-price work.
Can we start with one module and add more later?
Yes, and most customers do. Every module works standalone and activates on your licence at any time; because all modules share one database, adding the second module means adding a tab, not migrating data or learning a new system.
What happens to our old system after go-live?
It stays available, read-only, for as long as you want it. We keep your original extracts untouched, and the parallel-run phase means the old system and InsightSuite have been proven to agree before you rely on the new one alone. Decommissioning is your decision, on your timetable.
Do you integrate with payroll services?
Insight Ledger produces payroll-ready export files that integrate with the major Australian payroll services, checked by a validation wizard before the file is generated. For anything more specialised, the Insight API and our custom-development service cover the rest — see the Consulting page for how quoted custom work runs.
Why is there no public price list?
The price depends on users, modules, hosting and services. The quote form takes about five minutes and produces a written, line-itemed quote within one business day.
Are you an Australian company?
Yes — registered in Brisbane on 1 July 2000, and working from a single office in Milton, Queensland ever since. Our support line is answered from Milton, Queensland, by the staff who build and maintain the product.
What is the minimum commitment on a licence?
Licences are annual, and the first year includes implementation, training and support as quoted line items. There is no multi-year lock-in: renewal is a decision you make each year, and our licence agreement contains no automatic rollover and no exit penalty — if you leave, you get a complete export of your data at no charge.
How many people typically work on our account?
One lead consultant, from first workshop to closing session, with specialists added for migration and training as needed. You will know your lead’s name and direct line within the first week, and they remain your point of contact for the first quarter after go-live.
What do we need on our side before implementation starts?
Three things, none expensive: one internal owner who can make small decisions quickly; access to your real data and processes early, because parallel runs only mean anything against reality; and a quiet-period window for go-live. Everything else — servers, migration tooling, training environments — is either included or arranged by us.
How long does an implementation disrupt the office?
About two hours a fortnight from each affected role during workshops and testing, one full business cycle run in parallel beside the current process, and go-live scheduled for your quietest window with a consultant on call. The office keeps running throughout.
What if we already have some software we like?
Keep it, and tell us which parts matter. InsightSuite runs beside tools you are happy with; payroll services and specialist packages connect through standard exports or the API add-on. One suite applies where systems duplicate effort.
How do renewals work?
Annually, invoiced sixty days before the anniversary with the coming year’s price on it, and never automatic: if you do not renew, the software keeps running under your perpetual licence for the version you hold; only updates and support pause. There is no exit fee.
Can we see the software before committing to anything?
Yes, and preferably on your own data: send a sample extract with your enquiry and the demonstration runs on figures you recognise. Bring your hardest question to the walkthrough.
