The quiet divergence
Asset registers drift in one direction: away from reality. A laptop is bought and expensed; a chair is moved and the register is the last to know; a vehicle is sold and the spreadsheet keeps it for two financial years. The insurance schedule, maintained separately by the broker, drifts on its own course. The gap surfaces at a claim.
The week it matters
The audit arrives with the storm, the theft or the lease hand-back, and the claim is paid against evidence, not memory. Insurers ask for the item, its value and its provenance. An organisation whose lists disagree then sees the cost of drift: settlements delayed and items disallowed for lack of evidence.
Reconcile to one list
A register should be cheap to keep accurate: changes in seconds, movement tracked, service history attached. Start from the insurance schedule, reconcile reality to it once, then have the register update itself from procurement and feed the insurance schedule automatically.
What to do about it, whatever you buy
Anchor on one authoritative list, and make it the one with consequences attached (the insurance schedule or the depreciation schedule — rarely the ad-hoc spreadsheet). Label everything; an unlabelled asset is an asset awaiting denial of existence. Run a variance stocktake: the goal is not a perfect count but a written explanation of every difference. And schedule depreciation to happen to the register rather than to a copy of it — every copy of a list is drift, pre-installed.
The annual stocktake
An annual full count is not enough, because the register decays between counts: a laptop bought in March is absent until the next stocktake, a vehicle sold in May keeps depreciating. The fix is continuous registration: purchases enter the register at procurement and movements are recorded when they happen.
Questions this view raises
How often should we really stocktake?
Should the register or the insurance schedule drive?
Insight Assets reconciles the register with the insurance schedule and feeds it automatically. You can see these principles applied on the projects pages and throughout the InsightSuite module pages.
