1. Who this policy covers
This policy explains how Software Insight Pty. Ltd. (we, us) collects, uses, stores and discloses personal information. It applies to this website, to enquiries you send us, and to customers who use our software and services. We are bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth) and by equivalent Queensland legislation where applicable.
Our office is at Level 2, 52 McDougall St, Milton QLD 4064. Questions about this policy or about your personal information can be directed to support@softwareinsight.com.au or by telephone on 07 315 04076.
2. What personal information we collect
From website visitors and enquirers, we collect only what you choose to give us: typically your name, organisation, email address, telephone number and the content of your message, provided through the contact or quote forms or by email. We do not use advertising trackers, cross-site analytics, or social media pixels on this website.
From customers, we additionally hold the account and billing details needed to operate your licence (contact person, billing address, purchase records) and the content of support requests you raise with us. If you use our cloud-hosted service, we also hold your hosted data as a processor on your behalf, under the terms of your hosting agreement.
We do not collect sensitive information (health, biometric, political and similar categories) except where a support request itself contains it, in which case it is handled only to resolve the request.
3. How we use personal information
We use personal information only to: respond to your enquiry; provide, invoice and support the products and services you have purchased; meet our record-keeping, tax and statutory obligations; and send product notices such as release announcements and scheduled maintenance advisories, where you are a customer.
We do not sell, rent or trade personal information. We do not send marketing email to non-customers, and every customer notice includes a functioning opt-out that we honour immediately.
4. Storage, security and retention
Personal information is stored on servers located in Australia, under access controls limited to the staff who need it to perform their roles. Data in our hosted service is encrypted in transit and backed up daily, with restore tests performed and documented quarterly.
We retain personal information only as long as required for the purpose of collection and for any statutory requirement that applies (for example, taxation record-keeping periods). Enquiry correspondence is retained for two years; customer account records are retained for the life of the licence plus the statutory period; hosted data is deleted, with certification on request, within 30 days of a hosted agreement ending.
5. Disclosure to third parties
We disclose personal information only to service providers engaged under written confidentiality and privacy obligations — currently, our Australian hosting provider for the cloud-hosted service — or where we are required to by law. We never disclose personal information to advertisers, data brokers or social media platforms.
6. Cookies
This website uses a small number of technical cookies only. Their names, purposes and lifetimes are listed in our Cookie Policy, which forms part of this notice.
7. Access and correction
You may request access to the personal information we hold about you, or ask us to correct it, by writing to support@softwareinsight.com.au. We will respond within 30 days. Where we cannot provide access (for example, where the information also concerns another person), we will explain why and what parts we can provide.
If you have a concern about how we have handled your personal information, you may complain to us in the first instance; we will acknowledge within five business days and respond within 30. You may also contact the Office of the Australian Information Commissioner at any time.
8. Anonymity and pseudonymity
Where it is practicable and lawful, you may interact with us anonymously or under a pseudonym — for example, general pre-sales questions may be asked without providing your organisation’s name. Formal quotations, licences and support require identifying details because of invoicing and record-keeping obligations.
9. Changes to this policy
If we change this policy, we publish the new version on this page with a new effective date. Material changes affecting customers are additionally announced by email at least 30 days before taking effect.
10. Privacy inside the software itself
InsightSuite applies the same privacy practices in its design. Access is role-based: staff see the records their role permits, and every retrieval from the document archive is logged. Retention is policy-driven: disposal schedules end in a human review step. Where hosting is chosen, customer data stays on Australian servers.
Customers processing personal information in InsightSuite remain responsible for their own collection; the software provides permissions, audit trails, retention tools and complete exports. Questions can be directed to the contact points in section 1.
