Insight Flow

Insight Flow moves routine paperwork out of in-trays and into the system. Approval chains, reminders and escalations run automatically, and every decision is recorded.

Insight Flow is included in InsightSuite Enterprise and available as a licensed add-on for Standard and Professional.

The problem it solves

Email is a common workflow engine and a poor one. Requests arrive without the information needed to decide them, get forwarded into invisibility, wait for a sign-off two managers deep in a leave chain, and leave no record of who decided what, when, or why. Queue length and wait times are invisible.

How we approach it

Intake forms gather the information the approver needs. The visual builder maps the approval chain as it is: serial steps, parallel sign-offs, and thresholds that route larger amounts to senior staff. Every step carries an SLA timer, an automatic reminder and an escalation to a named deputy. The decision log builds itself as the request moves.

Key features

  • A visual workflow builder for approval chains.
  • Automatic reminders and escalation on overdue steps.
  • Delegation and out-of-office routing.
  • SLA timers on every workflow step.
  • An online forms designer for intake requests.
  • A full audit log of every decision taken.
  • Parallel and serial approval paths, including multi-level sign-off.

A working day with Insight Flow

A purchase request arrives with its quotes, job code and cost centre attached. It routes to the project manager below the threshold; he approves from his phone, the ledger is updated, and the decision log records who, when and on what basis. A director’s pending approvals move to a named deputy automatically during leave. The escalation report shows nothing overdue.

What changes in your office

Approvals that move

Requests move from desk to desk; approvers act from a single work list. The engineering case study cut a week-long approval cycle to about an hour.

Nothing goes missing

Every step, decision and comment is logged.

Fewer chase-up emails

Reminders fire on schedule and escalations follow pre-set rules.

Common questions

How long does it take to build a workflow?
A single approval chain with reminders and one escalation level is typically configured in under a day. The builder is visual — administrators learn it in our one-day course.
What about approvals people insist on doing by email?
The Insight Mobile add-on lets approvers act from a phone with one tap. Once the work list is faster than the inbox, email approvals fade on their own.
How do thresholds and parallel approvals work?
Each step can carry value and type conditions: below a threshold, one approver; above it, two in parallel or a senior in series. Paths are drawn in the visual builder rather than coded, and a request can be re-routed mid-flight when the facts change. The design principle is that the workflow encodes your delegation policy exactly as your board approved it — including the parts that only apply at quarter-end or above certain amounts.
What prevents a workflow from posting or changing financial data?
Insight Flow approves and records; it does not post. Financial effects remain in the ledger, applied by the ledger, under its own rules and controls. A workflow can mark an invoice ready and release it to a queue, but the posting itself keeps every check a direct posting would face.
