The problem it solves

Ledgers commonly have three problems: reconciliations done quarterly because the monthly version takes too long; cost codes left over from departed staff, so postings land in “sundry”; and an audit trail that exists only in theory. Spreadsheets and legacy packages make these inevitable when month end consumes the finance function.

How we approach it

Journals that repeat can be saved and scheduled; allocations across cost centres run on rules set once. Bank reconciliation imports transaction files and matches them automatically; the clerk confirms exceptions. Every posting records who, when and from which screen. Any figure on any report can be clicked back to the original entry.

Key features

  • General ledger with drill-down from any report figure back to the original entry.
  • Accounts payable and accounts receivable with automated, editable reminder letters.
  • Bank reconciliation from imported transaction files — exceptions only, no rekeying.
  • Budgeting and forecasting by cost centre and period, with variance reporting.
  • BAS-ready GST reports and a guided end-of-financial-year rollover.
  • Multi-cost-centre and multi-project tracking for grants, programs and locations.
  • Recurring and reversing journals with a full audit trail on every posting.

A working day with Insight Ledger

On the first business day of the month the bank file imports overnight; the reconciliation screen shows matched transactions and a few exceptions. Reminder letters are released from the ledger. Any questioned figure opens to its original entry with its audit trail. The BAS report is produced from coded GST entries and checked against the working account.

What changes in your office

A month end that fits in a day

Recurring journals, automated allocations and saved report packs. The freight-industry case study went from nine days to two.

Fewer errors at the point of entry

Validation rules catch miscoded and duplicate entries when they are typed.

Compliance without rework

GST, BAS and financial-year conventions ship with the product and are maintained as rules change.

Common questions

Can we keep our existing chart of accounts?
Yes — during implementation we map your current chart and cost centres into the ledger rather than forcing a renumbering exercise on day one. Structure changes can be staged for a quieter month.
How long is a typical migration?
A single-ledger migration with two years of history is typically a two-to-three-week task including verification. The parallel-run approach we use is described on the Consulting & Implementation page.
How does the BAS workflow run in practice?
GST is coded at entry, so the activity statement is a report rather than a scramble: draft it any time, check the audit figures against the working account, and lock the period when lodged — after which postings to that period require an explicit, logged unlock. Drafts, adjustments and lodged figures sit side by side, so your accountant sees the same trail the ATO would ask for.
How are prior financial years handled during migration?
Typically two full years are migrated, with opening balances reconciled to your accountant’s figures and verified by control totals you sign off. Older years can stay in the legacy system, readable but closed, or be brought across as summary-level history where the audit trail matters more than the detail. The choice is made during process review, priced transparently, and either way the old system is never switched off on day one.
