How our quoting works

A quote from us is a written, line-itemed, fixed-price document — never a “starting from” figure or a phone estimate. It sets out licences, implementation, training and first-year support so you can see exactly what each part costs and what deferring a part would save. Preparing it costs you nothing and commits you to nothing.

  1. 1
You tell us about your organisation

The form asks for the facts that drive price: staff numbers, the systems you run today, the modules that interest you, and your rough timeline.

  2. 2
We review and, if useful, talk once

A consultant reads your answers and may ask a few questions by phone or email about your month end, your document volume, your approval chains. This costs nothing.

  3. 3
    You receive a written quote

Within one business day you have a line-itemed quote: licences by module and edition, implementation phases, training by course, and first-year support, each priced separately and valid for 60 days.

  4. 4
You decide in your own time

There is no follow-up sequence. If you proceed, the implementation dates on the quote are held on acceptance; if not, the quote is a useful benchmark.

What the quote document itself looks like

Quotes are a page or two, structured the same way every time, so they can be compared line by line across vendors. Every quote contains:

  • Licences: modules and edition, per-user pricing with the 10- and 25-user breakpoints applied, and the first-year support inclusion stated in figures.
  • Implementation: each phase as its own line item — process review, migration per data set, configuration per module, testing support, go-live cover.
  • Training: courses, head counts and format, with first-year refresher sessions included at no charge.
  • Hosting, if chosen: the annual cloud-hosting line, stated separately.
  • Validity and terms: 60-day validity, no automatic renewal, and the data-export promise in writing, as in our published terms.

If any line is unclear, telephone the number on it and we will explain it.

What determines the price

FactorEffect on quote
Edition (Standard / Professional / Enterprise)Sets the included modules and platform features
Number of usersPer-user licensing, with breakpoints at 10 and 25
Modules & add-onsEach activated module or add-on is a line item
Hosting (on-premises / cloud)Cloud hosting is an annual line item on Australian servers
Migration & configurationQuoted after review, fixed before work begins
Training coursesPer course and head count; refresher included first year

The biggest cost driver is usually migration scope. We will tell you which parts of your request drive the cost, and what a smaller first phase would look like.

The professional quote form

Required fields are marked with *. This website has no form server: pressing the button opens a ready-addressed request in your own email program, so nothing reaches us until you press send there. Your details are used only to prepare your quote and are never passed on — see our Privacy Policy. We reply within one business day of receiving it.

A few things worth knowing before you commit

Is the fixed price really fixed?
Yes, for the scope written above it. If the migration proves harder than quoted, that is our margin absorbing the difference. What changes a quote is a change to the scope: more users, another module, a different hosting arrangement. Those are quoted as written variations before work proceeds.
Do you require a deposit?
For licences, payment follows delivery of the key. Implementation is invoiced at the milestones each phase quotes — after process review, after go-live — rather than in advance. We prefer to be paid for work that exists, and that patience is priced into the fixed quote. If your procurement cycle needs different terms, say so and we will structure the schedule honestly around it.
Can we stage the purchase over more than one year?
Yes, and a fair share of customers do — wave one this financial year, the next module once the results have been seen. Staging costs slightly more in total (each wave carries its own project overhead) and risks nothing: modules activate onto the same database, so nothing is re-migrated or re-learned. If a staged path suits your budget better, ask for it to be priced both ways in the quote.
